Job Description

A hotel receptionist, or front desk agent, is the first and last point of contact for guests, responsible for creating a positive experience from arrival to departure. The role involves a combination of customer service, administration, and inter-departmental coordination.

Key Duties and Responsibilities

Guest Services

Greet and welcome guests upon arrival with a friendly demeanor.

Manage the check-in and check-out process efficiently, including allocating rooms and providing keys.

Answer inquiries and provide information about hotel facilities, services, and local attractions, restaurants, or transport options.

Respond promptly and professionally to guest requests (e.g., wake-up calls, extra towels, booking taxis) and complaints, escalating issues to the manager when necessary.

Provide personalized service where possible, noting guest preferences and special requests.

Reservations and Finance

Manage reservations made via phone, email, or online systems, ensuring accuracy and recording all details.

Prepare guest bills, process payments (cash, credit/debit card), and balance accounts accurately at the end of a shift.

Utilize sales skills to promote hotel services and special offers to increase revenue.

Administration and Operations

Operate the hotel switchboard, answering and transferring incoming calls and taking messages.

Perform general clerical tasks such as filing, photocopying, and data entry using hotel management software (PMS or GDS systems are commonly used).

Liaise and coordinate with other departments, such as housekeeping and maintenance, to ensure guest rooms are ready and issues are resolved promptly.

Maintain a clean, organized, and professional reception area.

Comply with all safety regulations and emergency procedures.
