We are seeking a highly experienced Timekeeping Specialist to oversee and safeguard timekeeping operations for approximately 1,800 employees across 200+ retail locations nationwide. This is a critical compliance role supporting a fast-paced, multi-state organization operating across multiple time zones.
This position requires deep expertise in complex wage and hour environments — particularly high-regulation states such as California — and strong command of system configuration, auditing, and payroll alignment. You will serve as a key compliance steward, ensuring time reporting accuracy, system integrity, and risk mitigation across the organization.
This role reports to the Senior Payroll Manager and partners closely with Payroll and HR. It is fully remote and requires exceptional independent judgment, advanced technical capability, and a proactive compliance mindset.
What You’ll Own Timekeeping Administration & Compliance Oversight
- Administer and audit timekeeping records for ~1,800 employees across 200+ multi-state retail locations
- Perform detailed pre- and post-payroll audits to ensure wage and hour compliance
- Validate accurate calculation of:
- Regular pay
- Daily and weekly overtime
- Double time (where applicable)
- Premium pay
- Holiday pay
- Ensure pay code integrity and system-generated calculation accuracy
- Identify, investigate, and resolve discrepancies proactively
California & High-Regulation State Compliance
- Maintain advanced knowledge of complex wage and hour laws, including:
- Daily overtime and double time requirements
- Seventh consecutive day overtime rules
- Reporting time pay
- Ensure strict adherence to California meal and rest period requirements:
- First and second meal period timing rules
- Rest period compliance tracking
- One-hour premium pay triggers for non-compliance
- Audit real-time and historical records to identify and correct potential exposure
Systems & Technical Expertise
- Subject matter expertise in:
- Kronos Workforce Management (timekeeping administration & configuration)
- ADP Workforce Now (payroll processing & accrual management)
- Reconcile leave accruals and ensure system alignment between timekeeping and payroll
- Manage time reporting across multiple U.S. time zones
- Support wage claim documentation and compliance inquiries as needed
What You Bring
- 5+ years progressive timekeeping experience
- 3+ years supporting multi-state operations in complex wage & hour environments
- Demonstrated experience supporting high-regulation states such as California
- Advanced knowledge of:
- Multi-state paid sick leave laws
- Daily and weekly overtime regulations
- Double time and premium pay rules
- Meal and rest break compliance (including premium pay triggers)
- Leave accrual reconciliation
- Time zone payroll impacts
- Advanced Excel proficiency (pivot tables, advanced formulas, reconciliations)
- Exceptional auditing and analytical capability
- High level of discretion and confidentiality
- Ability to work a flexible schedule, including payroll deadlines that may require weekend or holiday availability
