About the Role

The Executive Associate II will serve as a key resource for the marketing team, demonstrating strong decision-making skills and the ability to anticipate the needs of senior management to ensure operational efficiency and strategic alignment.

Qualifications

  • Minimum of 8 years of comprehensive administrative experience supporting senior executives and large teams
  • Exceptional organizational and time-management skills
  • Strong interpersonal and communication skills, both verbal and written
  • Proven ability to handle sensitive and confidential information with discretion
  • Experience working independently and making decisions on behalf of executives
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and familiarity with collaboration tools such as SharePoint, Microsoft Teams, and Workday
  • Ability to adapt quickly to changing priorities and work effectively under pressure
  • Strong problem-solving skills and sound judgment
  • Experience supporting US product launches or within a pharmaceutical/biotech environment is preferred
  • High level of professionalism and a collaborative approach to team dynamics

Responsibilities

  • Provide comprehensive administrative support to senior marketing leadership, including calendar management, scheduling meetings, and coordinating travel arrangements
  • Prepare and organize meeting materials, presentations, and pre-reads to ensure managers are well-prepared
  • Manage expense reports, budgets, and support recruiting activities such as onboarding and offboarding processes
  • Serve as a resource for the team on systems such as Workday, IT support, and other administrative tools
  • Anticipate the needs of managers and take proactive steps to facilitate smooth workflows and project execution
  • Coordinate and organize internal and external meetings, including logistics and follow-up actions
  • Support team culture initiatives and foster a positive, collaborative work environment
  • Assist in managing communication across matrix teams, ensuring clarity and alignment on priorities
  • Maintain professional and technical knowledge through continuous learning and system updates
  • Handle confidential information and sensitive situations with diplomacy and discretion
  • Contribute to process improvements and support the implementation of new systems and procedures
  • Support various administrative functions related to the US marketing team, including resource management and project tracking
