About The Role The Executive Assistant role in the United States is a dynamic and strategic position designed to support a Senior Partner within a fast-paced, global consulting environment. This role combines the traditional responsibilities of an Administrative Assistant with the strategic partnership and judgment expected of a senior Executive Assistant. The successful candidate will act as a high-trust extension of the Partner, managing complex calendars, coordinating internal and external meetings, and ensuring operational excellence across multiple workstreams. This position requires proactive planning, disciplined priority management, and a keen eye for detail to enable the Partner to focus on high-impact initiatives. The role is remote, requiring the candidate to be based in the Pacific time zone, and offers an opportunity to contribute significantly to the efficiency and effectiveness of the Partner’s daily operations, client engagements, and firm initiatives.
Qualifications
- Bachelor’s degree or equivalent relevant work experience
- 10+ years of experience supporting senior leaders in consulting, professional services, or similarly fast-paced organizations
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- High emotional intelligence, discretion, and sound judgment
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, Zoom, Slack)
- Ability to anticipate needs and operate with minimal supervision
- Experience managing complex calendars and prioritizing competing demands
- Demonstrated ability to handle confidential information with integrity
- Strong problem-solving skills and a service-oriented mindset
Responsibilities
- Manage and optimize the Partner’s calendar, proactively anticipating conflicts and adjusting schedules accordingly
- Coordinate and support internal and external meetings, including agenda preparation, logistics, and follow-up actions
- Handle inbox triage, draft responses, and prioritize messages to ensure timely communication
- Track key deliverables, deadlines, decisions, and commitments across multiple projects to ensure reliable follow-through
- Prepare the Partner for meetings with relevant context, materials, and pre-reads well in advance
- Serve as a point of contact with internal teams, clients, and external partners, maintaining professional communication
- Support client-facing projects with administrative coordination, including scheduling, CRM updates, and travel logistics
- Maintain and update client and prospect databases, including opportunity pipelines and customer profiles
- Assist in outbound marketing initiatives such as conferences, webinars, and content coordination
- Support budget preparation, expense tracking, and interface with Finance and Accounts Payable
- Coordinate with Legal, HR, Marketing, IT, and Operations for cross-functional support and contract management
- Assist with recruiting logistics, including candidate scheduling, interview coordination, and onboarding support
- Provide backup support for other administrative staff as needed and contribute to continuous process improvements
- Lead ad hoc projects aimed at improving operational efficiency and professionalism
- Collaborate effectively with colleagues across different countries and time zones in a remote setting
