About The Role We are currently looking for an experienced Executive Administrative Assistant to support our federal government client, specifically assisting Senior Level Executive Service (SES) members. This role involves managing high-level administrative functions to ensure the smooth operation of the executive office. The successful candidate will handle complex scheduling, coordinate meetings and conferences, prepare briefing materials, and manage travel arrangements for senior executives. The position requires a proactive, detail-oriented professional capable of working independently and collaboratively within a fast-paced environment. The Executive Administrative Assistant will serve as a critical point of contact for coordinating office activities, maintaining records, and ensuring timely execution of high-level documents. This role offers an excellent opportunity to work closely with senior leadership and contribute to impactful government projects within a supportive organizational culture.
Qualifications
- Bachelor’s degree required; Master’s degree preferred
- Minimum of 7 years of relevant professional experience supporting federal senior executives
- Active SECRET security clearance
- U.S. citizenship is mandatory
- Proven experience in meeting coordination, calendar management, and task tracking
- Strong report generation and briefing development skills
- Excellent written and verbal communication abilities
- Experience supporting the Department of Homeland Security is a plus
Responsibilities
- Perform routine executive-level tasks including scheduling, drafting memos, and preparing briefing materials
- Coordinate daily operations meetings, notes, and post-meeting activities for senior executives
- Manage and de-conflict calendars for Executives and Principal Directors to optimize their schedules
- Maintain electronic action binders via MS Teams for high-level staff
- Organize and coordinate meetings, including attendee scheduling, conference room reservations, and external meetings
- Plan and execute all-hands and leadership meetings, including agenda setting and follow-up actions
- Arrange travel logistics for local, domestic, international, and invitational trips
- Review, route, and submit high-level documents for signatures, ensuring compliance with organizational policies
- Maintain comprehensive records in both hardcopy and electronic formats in accordance with applicable directives
- Perform ad-hoc administrative duties as assigned by federal staff
