Qualifications

  • Proven experience supporting senior executives or leadership teams in an administrative or executive assistant capacity
  • Demonstrated ability to proactively manage calendars, resolve scheduling conflicts, and prioritize tasks aligned with strategic goals
  • Experience coordinating virtual and in-person meetings, including booking conference rooms and managing logistics
  • Proficiency in arranging domestic and international travel, including flights, ground transportation, hotels, visas, and passports
  • Strong skills in preparing, submitting, and reconciling expense reports and purchase orders
  • Excellent communication skills, both written and verbal, with experience managing professional email correspondence
  • Ability to handle multiple tasks efficiently in a fast-paced environment
  • Discretion and professionalism in handling sensitive and confidential information
  • Technological proficiency with communication platforms such as Teams Live Events and other virtual meeting tools
  • Adaptability to learn and implement new communication tools and office technologies

Responsibilities

  • Proactively manage the calendars of senior leaders, prioritizing appointments and resolving scheduling conflicts
  • Coordinate complex travel arrangements for domestic and international trips, including flights, accommodations, and visas
  • Prepare, submit, and reconcile expense reports, purchase orders, and corporate credit card statements
  • Organize and facilitate leadership meetings, large-scale events, and all-hands sessions, including agenda preparation and follow-up on action items
  • Manage meeting logistics such as room setup, catering, and technology support, including troubleshooting virtual meeting platforms
  • Act as a point of contact for internal teams and external stakeholders, representing leadership with professionalism and confidentiality
  • Handle email correspondence and support internal and external communication strategies
  • Assist with general office management tasks, including visitor badges, security passes, and facility coordination for Wichita-based leaders
  • Maintain organized email distribution lists and support the execution of communication initiatives across the organization
  • Continuously seek opportunities to automate and improve administrative processes through technology adoption
