Job Description

Position Overview

As our bookkeeper, you will play a critical role in driving the financial efficiency, accuracy, and scalability of RR Digital. This role bridges high-level financial strategy with meticulous day-to-day accounting execution. You will be responsible for managing core business operations like payroll and vendor payments to handling the complex lifecycle of campaign finances, including escrow management and media reconciliation.

The ideal candidate is a process-driven professional who is comfortable managing financial systems, and ensuring that both internal operations and client-facing campaign funds are handled with precision.

Key Responsibilities

Campaign Finance & Escrow Management

  • Invoicing & Escrow: Manage the end-to-end billing process; ensure client funds are correctly invoiced, received, and held in escrow for campaign deployment.
  • Paid Reconciliation: Track and reconcile paid media invoices against actual campaign spend to ensure accuracy between agency records, platform data, and client billing.
  • Campaign Disbursements: Oversee the timely and accurate payment of campaign-related expenses and media vendors from escrowed accounts.
  • Data Validation: Audit and validate campaign spend data across internal tracking sheets and platform exports to ensure no discrepancies exist before final reporting.

Core Business Finance & Operations

  • Accounts Payable & Receivable: Manage all standard business AP/AR, ensuring timely collection of fees and payment of corporate obligations.
  • Contractor & Vendor Management: Oversee the onboarding and weekly/monthly payment of domestic and international contractors and service vendors.
  • General Ledger & Month-End: Own and maintain the general ledger; work with CPAs on month, quarter, and year-end closing processes to ensure timely and accurate financial statements.
  • Reporting: Develop and maintain reporting to provide leadership with real-time visibility into agency profitability, cash flow, and budget vs. actuals.

Process Optimization & Compliance

  • Workflow Automation: Utilize tools to automate the flow of financial data between CRM, project management, and accounting software.
  • Compliance: Ensure all local, state, and federal tax requirements are met and coordinate with external CPAs for annual filings and 1099 processing.

Qualifications

Experience: 3+ years in accounting or finance. Agency experience is preferred due to the complexity of reconciling third-party media spend.

Skills:

  • Mastery of QuickBooks Online and advanced Google Sheets / Excel (pivot tables, complex data mapping, and formulas).
  • Proven experience in managing escrow accounts.
  • Proficiency with reporting and business intelligence tools for financial dashboarding.
