Role Summary

The Associate Planner plays a critical support role in the planning and execution of corporate meetings, incentives, and events. This position blends logistics, organization, and creative contribution. While primarily behind the scenes, the role is partially client-facing, including participation in planning calls and ongoing coordination support.

This is an ideal opportunity for an early-career event professional with 1–3 years of experience who thrives on detail, enjoys both structure and creativity, and is eager to grow within a fast-paced agency environment.

Key Responsibilities

Planning & Logistics Support

  • Support Meeting Managers and Senior Meeting Planners across multiple programs
  • Capture notes and action items during client planning calls
  • Assist with event logistics, timelines, and documentation
  • Manage manifests, transportation details, and attendee data
  • Support registration builds and updates (Cvent or similar platforms)
  • Conduct destination, venue, and vendor research
  • Collaborate on internal planning materials and working documents
  • Manage attendee inboxes, troubleshooting registration challenges and answering attendee questions

Proposal & Research Support

  • Assist with proposal development and formatting
  • Compile research, sourcing options, and recommendations
  • Prepare supporting visuals and presentation materials

Creative & Communication Support

  • Design attendee-facing materials using Canva
  • Save the Dates
  • Know Before You Go guides
  • Briefing books
  • Event collateral
  • Contribute ideas for attendee communications and experience details
  • Maintain brand consistency across materials

Onsite Support

  • Provide onsite event support as needed
  • Assist with registration, logistics coordination, and execution

Qualifications

  • 1–2 years of experience in event planning, hospitality, or related field. Agency experience preferred.
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Demonstrated attention to detail
  • Ability to manage assignments independently while aligning with program leads
