About The Role The Collaborative Quality Initiatives Operations (CQIO) team within Michigan Medicine is seeking a dedicated and proactive Administrative Specialist to support the Blue Cross Blue Shield of Michigan (BCBSM) sponsored Collaborative Quality Initiatives. This role is integral to managing and coordinating a portfolio of over 20 statewide improvement programs aimed at enhancing healthcare quality, safety, and clinical outcomes. The Administrative Specialist will work closely with internal teams, external stakeholders, and project managers to facilitate seamless operations, ensure timely deliverables, and support strategic initiatives. Based in the Michigan Medicine Quality Department, this position offers an opportunity to contribute to impactful healthcare improvement efforts while gaining valuable experience in healthcare quality management and project coordination.

Qualifications

  • Associates degree or equivalent combination of education and experience
  • Two or more years of relevant administrative experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Demonstrated problem-solving skills and attention to detail
  • Ability to work independently and collaboratively within a team
  • Willingness to travel periodically within Michigan for meetings
  • Experience with project management tools such as SharePoint or Smartsheet (preferred)
  • Prior experience within the University of Michigan systems and policies (preferred)
  • Bachelor’s degree (preferred)

Responsibilities

  • Assist with the planning, coordination, and submission of CQI deliverables, ensuring all tasks are completed on schedule and aligned with project milestones
  • Maintain and track deliverable schedules, monitor progress, and report on key milestones to project teams and stakeholders
  • Prepare and compile reports, presentations, and documentation related to CQI activities and outcomes
  • Act as a liaison between project teams, internal departments, and external stakeholders to facilitate effective communication and information exchange
  • Support the management of project calendars, reminders, and schedules to ensure timely completion of tasks
  • Contribute to the organization and maintenance of project records, shared drives, and online portals such as SharePoint and DropBox
  • Participate in CQIO project meetings, take minutes, and follow up on action items to ensure progress and accountability
  • Assist in the development and implementation of best practices for cross-collaboration within the CQI portfolio
  • Support administrative functions including correspondence management, website updates, and event coordination
  • Contribute to special projects and ongoing initiatives, providing logistical and operational support as needed
  • Perform additional duties as assigned to support the overall success of the CQIO team
