About The Opportunity We are a remote-first professional services organization delivering client-facing administrative, onboarding, and account support to small- and mid-market businesses across multiple sectors. Our team enables seamless client experiences by combining operational rigor with cloud-first tools and timely communication—supporting retention, billing accuracy, and service delivery.

We are hiring a US-remote Client Support Specialist to own day-to-day administrative operations and act as the primary point of contact for client inquiries and account coordination.

Role & Responsibilities

  • Serve as first-line client contact: manage inbound inquiries via email, chat, and ticketing systems and ensure timely, professional responses.
  • Coordinate client onboarding and account setup: schedule meetings, collect documentation, and maintain onboarding trackers to ensure smooth handoffs.
  • Maintain and update CRM and ticketing platforms with accurate client records, activity logs, and follow-up tasks.
  • Support billing and invoicing processes: prepare invoices, track payments, and escalate discrepancies to finance teams.
  • Schedule and run virtual meetings, prepare agendas and follow-up notes, and coordinate cross-functional resources to resolve client issues.
  • Create and maintain client-facing documentation and internal knowledge bases to improve first-touch resolution and operational consistency.

Skills & Qualifications Must-Have

  • 2+ years experience in client support, administrative coordination, or customer service roles (remote experience preferred).
  • Proven experience using CRM or ticketing tools to manage client workflows and records.
  • Strong written communication and professional email etiquette for high-volume client interactions.
  • Proficiency with Google Workspace and Microsoft Excel for data tracking and reporting.
  • Comfortable scheduling across time zones and managing virtual meeting logistics (Zoom/Teams).
  • High attention to detail, strong follow-up discipline, and the ability to prioritize competing requests.

Preferred

  • Experience with Salesforce, HubSpot, or Zendesk.
  • Familiarity with basic invoicing/billing tools (QuickBooks, Stripe, or similar).
  • Prior experience supporting B2B professional services or subscription-based products.
