About The Role We are currently seeking a detail-oriented and proactive Administrative Assistant to join ORIONYX ENGINEERING LTD. This is a remote role exclusive to candidates residing within the United States. In this position, you will play a vital role in supporting various departments by ensuring smooth daily operations, facilitating effective communication, and managing administrative tasks efficiently. Your organizational skills, attention to detail, and ability to handle multiple responsibilities will be essential in helping the company achieve its strategic objectives and maintain high levels of operational efficiency. The ideal candidate will be a self-starter with excellent communication skills and a strong commitment to confidentiality and professionalism.
Qualifications
- High school diploma or equivalent; associates or bachelor’s degree preferred.
- Proven experience as an administrative assistant or in a similar role, preferably within an engineering or technical environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management tools such as Asana or Trello.
- Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
- Excellent written and verbal communication skills.
- Customer-focused attitude and professional demeanor.
- Experience with document management systems and database software (preferred).
- Basic understanding of engineering terminology and project management processes (preferred).
- Certification in administrative support or office management (e.g., CAP, PMP) is a plus.
Responsibilities
- Oversee daily office operations, including managing supplies, equipment, and maintenance requests to ensure a productive work environment.
- Provide comprehensive administrative support to engineering teams, project managers, and executives, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare, format, and review documents, presentations, and reports for internal and external stakeholders.
- Serve as the primary point of contact for inquiries, directing calls and correspondence to appropriate departments or personnel.
- Draft and distribute emails, memos, and meeting minutes to facilitate effective communication.
- Assist in tracking project timelines, deliverables, and deadlines, ensuring all documentation is current and accessible.
- Manage databases and filing systems, ensuring data accuracy and easy retrieval for decision-making purposes.
- Organize and coordinate meetings, workshops, and company events, including logistics, catering, and resource preparation.
- Prepare agendas and ensure necessary materials and resources are available for meetings and events.
- Support basic financial tasks, including processing invoices, expense reports, and assisting with budgeting documentation.
- Maintain positive relationships with clients, subcontractors, and suppliers through excellent customer service.
- Handle sensitive and confidential information with discretion, ensuring compliance with company policies and regulatory standards.
- Identify opportunities to improve administrative processes and contribute to the development of more efficient practices.
- Stay informed about new tools and best practices to enhance administrative efficiency and effectiveness.
