Job Description

Role Summary

The Administrative Coordinator serves as the strategic administrative partner to a chief executive of the firm providing high-level support, coordination, and proactive anticipation of needs.

This role blends executive support excellence, project management, and operational leadership. You will manage priorities, coordinate across the organization, and ensure the executive operates with clarity, efficiency, and focus.

This position is designed for someone highly organized, confident, and curious — someone who takes ownership and keeps the operation moving forward without requiring constant direction.

Core Responsibilities

  • Manage and filter inbox with sound judgment and autonomy.
  • Fully own calendar management, including boundaries, prioritization, and complex scheduling.
  • Plan and manage all travel and itineraries with complete accuracy.
  • Prepare meeting briefs, agendas, summaries, and follow-up needed.
  • Coordinate communication and workflows with internal teams and external clients.
  • Follow up on action items and ensure deadlines are met.
  • Maintain the highest level of confidentiality and professionalism.

Operational & Project Support

  • Support the structure and accuracy of internal systems: OneDrive, trackers, digital links, and shared documents.
  • Assist in creating or formatting presentation materials.
  • Support weekly operational rhythms and recurring communications.
  • Update dashboards with provided data to maintain accurate operational metrics.
  • Coordinate timelines, deliverables, and communication across multiple projects.
