Receptionist manages the reception area, acting as the first point of contact by greeting visitors, answering calls/emails, directing inquiries, handling mail, managing schedules, and providing administrative support to ensure smooth office operations and excellent customer service.
Key responsibilities include maintaining a tidy reception, scheduling appointments, managing visitor logs, ordering supplies, and assisting with basic clerical tasks like data entry and filing, requiring strong communication, organization, and a customer-focused attitude.
Visitor Management: Greet, welcome, and direct guests and clients professionally.
Communication Hub: Answer, screen, and redirect phone calls; handle incoming/outgoing emails and mail/deliveries.
Scheduling & Administration: Schedule appointments, manage calendars, and provide general administrative support (filing, data entry, photocopying).
Reception Area Maintenance: Keep the front desk clean, organized, and stocked with necessary supplies (pens, forms, brochures).
Information Provider: Answer basic questions about the company, its services, location, and hours.
Security & Procedures: Monitor visitor logs, issue badges, and follow safety protocols.
Customer Service: Friendly, professional, and patient demeanor.
Organizational Skills: Ability to multitask and maintain order in a busy environment.
