Onboarding Specialist
Summary of Primary Function
The Onboarding Specialist plays a critical role in supporting the talent acquisition process by overseeing the administrative and customer service aspects of new associate preboarding. This position involves direct interaction with hiring managers, associates, and candidates to ensure compliance with hiring regulations and facilitate a seamless transition for new hires into the organization.
Essential Job Functions
Manage and create new hire files, including the collection of necessary paperwork and onboarding documents.
Ensure new hire documentation is filed electronically following accreditation regulations and compliance standards.
Oversee the completion of new hire pre-employment requirements, including background checks, screenings, and secondary checks.
Build and foster relationships with recruiters, hiring managers, associates, and candidates to maintain a positive preboarding experience.
Serve as the first point of escalation for issues related to preboarding processes.
Provide overall administrative support to the recruitment team and Talent Acquisition leadership.
Identify gaps in knowledge and escalate any concerns to appropriate leadership.
Review calls and cases as needed and provide actionable feedback to the team.
Required Qualifications
Bachelor’s degree in Human Resources or a related field.
2-5 years of experience in preboarding from shared services or BPO companies.
Proficient in Microsoft Word, Excel, Outlook, and knowledge of applicant tracking systems.
Strong interpersonal and communication skills to effectively engage with all stakeholders.
Detail-oriented with proven organizational and time management skills, including the ability to multitask.
Ability to maintain confidentiality and professionalism in all situations.
Experience with Workday, Service Now, or similar systems is highly preferred.
Willingness to work a night shift schedule.
