Job Summary:
We are hiring an experienced Executive Assistant to support 3 Partners. This is a high-visibility role requiring exceptional organizational skills, discretion, and the ability to operate effectively in a fast-paced, high-stakes environment. The ideal candidate will bring prior experience supporting senior executives in financial services, legal, or consulting, and will act as a strategic partner in enabling the Partner's productivity and time efficiency.
Key Responsibilities:
• Manage professional and personal scheduling for the Partners, including calendars, agendas, mail, email, phone calls, client management and other communications.
• Assist the Partners in meeting preparations; including but not limited to agenda planning, online and offline documentation, logistics, sharing invites etc.
• Maintain Minutes of Meetings and follow-up on actions/deliverables from all stakeholders.
• Responding to emails and document requests on behalf of the Partners
• Prepare presentations and documents on behalf of the Partners
Requirements:
• Minimum of 5 years of relevant administrative experience as an Executive Assistant. Experience at a financial services, private equity, venture capital, investment management or consulting firm would be a plus
• Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint etc).
• Efficient execution of administrative activities, multi-tasking with high attention to detail, organization and process.
• Clear, concise, and accurate verbal and written communication skills.
• Ability to maintain professionalism and strict confidentiality with all materials.
• Strong partnering, rapport-building, and relationship management abilities.
• Ability to balance teamwork with self-direction and initiative to solve problems and deliver results.
• Positive attitude and capability to work independently as well as part of a team.
