Job Description
ESSENTIAL DUTIES:
Calendar Management: Scheduling meetings, appointments, and events with efficiency and accuracy.
Meeting Preparation and Coordination: Organize and schedule meetings, including but not limited to QBRs, Monthly Ops reviews, Board Meetings and other leadership meetings and preparing and distributing meeting agendas and materials and recording minutes.
Travel Arrangements: Plan and book domestic and international travel, including flights, accommodation, and transportation, in line with the travel budget. Prepare detailed travel itineraries and ensure all logistics are streamlined.
Documentation Support: Prepare presentations, reports, spreadsheets, and other documents as needed. Maintain filing systems, both physical and digital, ensuring confidentiality and easy access.
Office Efficiency: Contribute to the overall efficiency of the Executive office by streamlining administrative processes, handling incoming correspondence, and ensuring the Executive office operates smoothly.
Project Assistance: Support special projects by conducting research, compiling data, and presenting findings in a clear and concise manner. Track deadlines, deliverables, and project progress.
Event Planning: Assist in the planning and coordination of corporate events, meetings, and off-site activities.
Expense and Budget Management: Track, manage, and reconcile expense reports and budgets for the Executive office.
Confidentiality: Handle sensitive information with discretion and maintain the highest level of confidentiality.
Provides high-level, tactical support for ideation and implementation of key strategic business initiatives.
Develop innovative ways maintain communication between leadership and staff
Drive execution of action items and priorities agreed by EXCO
Prepares, maintains, and submits clear & concise activity/progress reports and time recording/management report.
Prioritizes multiple demands/projects simultaneously while maintaining good working relationships with business leaders.
Manage EXCO meetings, calendars, prepares and/or edit presentations and speeches.
Represents leadership in meetings and workshops
Manages billing, invoices, budgets, expense reports and purchase orders for the CEO and the EXCO members.
Reviews documents and data (e.g., incoming requisitions, past purchases, PO’s, inventories, etc.) for the purpose of ensuring completeness and accuracy of purchasing process.
