Job Title: Personal Assistant to the CEO
Job Summary:
The Personal Assistant to the CEO provides high-level administrative support to the Chief Executive Officer, ensuring seamless day-to-day operations, managing schedules, and facilitating communication.
Responsibilities:
1. Calendar Management:
- Manage the CEO's calendar, scheduling meetings, appointments, and events.
- Coordinate with internal stakeholders, external partners, and vendors.
- Ensure timely reminders and notifications.
2. Communication:
- Handle email, phone calls, and correspondence on behalf of the CEO.
- Prepare and send correspondence, reports, and presentations.
- Screen and prioritize incoming requests.
3. Travel Arrangements:
- Coordinate travel itineraries, bookings, and logistics.
- Prepare travel documents, expense reports, and reimbursement requests.
4. Meeting and Event Planning:
- Arrange meetings, conferences, and events.
- Prepare meeting materials, agendas, and minutes.
- Coordinate with catering, audio-visual, and other vendors.
5. Confidentiality and Discretion:
- Handle sensitive and confidential information with discretion.
- Maintain confidentiality of CEO's correspondence, meetings, and discussions.
6. Administrative Support:
- Provide general administrative support, including data entry, filing, and record-keeping.
- Maintain office supplies, equipment, and facilities.
7. Special Projects:
- Assist with special projects, research, and analysis as assigned.
- Provide support for CEO's initiatives and priorities.
Requirements:
1. Experience: 2-5 years of experience as an Executive Assistant or similar role.
2. Skills:
- Excellent communication, organizational, and time management skills.
- Ability to maintain confidentiality and discretion.
- Proficient in Microsoft Office, Google Suite, and other productivity tools.
- Strong problem-solving and analytical skills.
3. Education: Bachelor's degree in Business Administration, Communications, or related field.
