Job Purpose:
To support the administrative tasks and meet standards relating to the mobilisation and on boarding of new hires including travel arrangement, visa processing and coordination of orientation with the aim of continuously improving the new hire employee experience while optimising cost for on-boarding. Jobholder will also be responsible for recruitment forecast in coordination with department managers and using HR trends / reports.
Key Result Areas:
Reviews and seeks clarity of forecast of new joiners to ensure requirements are understood and fulfilled in time
Communicates with external suppliers to ensure necessary documents for entry to the UAE are arranged and available as requested.
Recommends and implements initiatives that enhance the new hire employee experience
Responsible for ensuring administration of on-boarding of new employees is accurate and maintained in Taleo.
Communicates with external travel partners to book all travel arrangements, airport collection and accommodation for all new hires. The jobholder should be able to plan their activities and fulfil this in a manner that optimises cost and timely joining of new employees.
Retrieves the Visa documents from Government Relations and provides relevant entry / transfer documentation to new hires. Communicate effectively with new hires ensuring a positive new hire experience
Generates weekly and adhoc reports and seeks corrective actions from On-boarding & Mobilisation Specialist when KRAs are not met.
Provides update on forecast to the Talent Acquisition Specialist so that all HR stakeholders can be provided with the necessary list of new hires on time.
Communicates with all new hires (junior grades) to ensure necessary documents for entry to the UAE are arranged and available as requested.
Participate in the achievement of team objectives, seeking on-going support, direction and self-development so that results are achieved.
Job Context:
This job holder operates within the framework of mobilisation and on-boarding practices but needs to keep up to date of factors that could affect the start of a new hire.
Knowledge, Skills & Minimum Experience:
Qualification
Certificate in Human Resources or Equivalent Qualification.
Experience & Knowledge
Minimum 4 years of experience in a similar role within an on-boarding and mobilisation team, preferably in a large organisation.
