Roles and Responsibility for Director payment posting1. Strategic Oversight of Payment Posting
• Lead and supervise the payment posting team (manual and electronic posting).
• Ensure accurate posting of payments from insurance companies (EOBs, ERAs) and patient payments.
• Define KPIs (Key Performance Indicators) for payment accuracy, timeliness, and efficiency.
2. Process Management and Optimization
• Design and continuously improve posting processes to reduce unapplied cash and errors.
• Implement automation where possible (ERA auto-posting, AI tools).
• Set up best practices for secondary billing after primary payments.
3. Compliance and Audit Readiness
• Ensure posting practices comply with HIPAA, CMS, payer contracts, and internal policies.
• Prepare for and respond to internal and external audits.
• Maintain documentation for refunds, takebacks, recoupments, and reversals.
4. Denials and Adjustment Management
• Oversee correct posting of denials and adjustments, linking them to follow-up workflows.
• Analyze patterns in denials or short payments and recommend process fixes.
• Collaborate with Denial Management and AR teams to streamline rework.
5. Team Leadership and Development
• Recruit, train, and manage payment posting specialists.
• Conduct regular training on new payer rules, software updates, and compliance changes.
• Set team goals aligned with broader RCM objectives (reduce Days in AR, improve cash posting accuracy).
6. Reporting and Analytics
• Generate daily, weekly, and monthly payment posting reports.
• Monitor metrics like unapplied cash, payment posting lag, and adjustment accuracy.
• Provide insights to finance leadership on cash flow and reimbursement trends.
7. Coordination with Other RCM Departments
• Work closely with Billing, AR, Denials, Credit Balance, and Refund teams.
• Ensure cross-team processes (like patient refunds or insurance refunds) are seamless.
• Support Finance teams with month-end close activities and reconciliations.
8. Technology and System Management
• Manage payment posting systems (EPIC, Athena, eClinicalWorks, Kareo, etc.).
• Coordinate with IT for system upgrades, clearinghouse integrations, and issue resolutions.
• Ensure data integrity between EHR/EMR, clearinghouses, and banking systems.
