Job Description
Job Summary:
Provides a variety of clerical and administrative duties to enable the Property Management Office to manage day-to-day activities. These include maintaining Unit Owner/Tenant accounts, compiling information and analyzing data, and helping coordinate work activities.
Duties and Responsibilities:
Prepares and processes correspondence, reports, meeting agendas, and general paperwork; composes and types routine correspondence, memos, letters, and reports.
Maintains and organizes documents, communications, and databases; researches, gathers, and analyzes data; monitors the transmittal of documents released by the PMO.
Monitors and ensures the submission of requirements for ID, access cards, and sticker applications; processes ID applications for maids and drivers.
Issues security access cards, car stickers, and IDs for maids and drivers; prepares summary reports of issued car stickers and IDs.
Sorts and distributes mail into mailboxes; ensures that the mailroom is kept as clean and orderly as possible.
Delivers circulars, letters, documents, and other materials as instructed by the PMO.
Follows up on the renewal of expired tenant storage leases.
Receives payments and issues appropriate official or provisional receipts for each payment received.
Prepares daily collection reports, deposit slips, and transmits them to the Accounting Department.
Prepares and segregates billing statements for release.
Assists in handling complaints, inquiries, and concerns of residents.
Maintains office equipment and monitors office supplies.
Performs other duties and functions as assigned.
Minimum Requirements:
Graduate of any four-year course.
At least 1 year of experience performing customer service-related functions.
Knowledge of office practices and procedures.
Ability to compose and edit correspondence.
Ability to manage multiple tasks simultaneously.
Ability to maintain confidentiality.
High sense of urgency and a high level of dependability.
Good organizing skills; efficient and accurate in filing documents.
Clear communication skills.
Resilient in handling additional responsibilities.
