The Administrative Assistant will provide administrative support to our team, ensuring the smooth operation of our office and facilitating effective communication with clients, candidates, and stakeholders. This role requires exceptional organizational skills, attention to detail, and excellent communication abilities.
Key Responsibilities:
1. Administrative Support:
- Manage and maintain calendars, schedules, and databases.
- Coordinate meetings, appointments, and travel arrangements.
- Prepare and distribute meeting materials, agendas, and minutes.
2. Communication:
- Respond to phone calls, emails, and messages in a timely and professional manner.
- Provide excellent customer service to clients, candidates, and stakeholders.
- Develop and maintain relationships with internal and external stakeholders.
3. Document Management:
- Prepare, edit, and proofread documents, reports, and presentations.
- Manage and maintain confidential files and records.
- Ensure accurate and timely data entry and record-keeping.
4. Office Operations:
- Maintain office supplies, equipment, and facilities.
- Coordinate office activities, events, and projects.
- Ensure compliance with company policies and procedures.
5. Special Projects:
- Assist with special projects, events, and initiatives as assigned.
- Provide support for marketing, recruitment, and business development activities.
Requirements:
1. Education:
- Bachelor's degree in Business Administration, Office Administration, or related field.
2. Experience:
- Minimum 0-2 years of administrative experience in a fast-paced environment.
3. Skills:
- Excellent communication, organizational, and time management skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive information.
- Strong attention to detail and problem-solving skills.
4. Personal Qualities:
- Professional and courteous demeanor.
- Ability to work independently and as part of a team.
