Position Summary
We are seeking a highly organized and driven Administrative Assistant to join our team. This dual-phase role will initially focus on supporting the office relocation project and later transition into a permanent front-office receptionist and administrative support position.
Key Responsibilities
Phase 1: Office Relocation Support (First 2–3 Months)
• Serve as the primary administrative coordinator for the office relocation project
• Develop and maintain a detailed relocation checklist and track milestones
• Coordinate logistics with vendors, service providers, and building management
• Act as a central communication hub between internal departments and external stakeholders
• Maintain documentation, schedules, and reports related to the relocation
• Ensure timely follow-ups and resolution of any logistical issues
Phase 2: Permanent Administrative & Front-Desk Support (Post-Relocation)
• Manage front-desk operations: greet visitors, handle mail/deliveries, issue visitor passes and maintain visitor logs.
• Serve as the first point of contact for client and guest inquiries.
• Handle incoming/outgoing mail, deliveries, and courier services
• Provide general administrative support to various departments including:
o Document filing and records management
o Check and book boardroom availability as needed for meetings and internal events.
o Assist with new employee onboarding including workspace setup
o Facilities reporting and maintenance coordination
o Assist in internal events
