Job Overview:

We are seeking a skilled and detail-oriented Private Debtors Administrator to join our team. The ideal candidate will be responsible for allocating received payments, sending out daily debtors report and following up on aged debtors. The Private Debtor Administrator will play a key role in managing and overseeing the allocation of incoming payments and maintaining accurate debtor accounts. This position focuses on ensuring that funds are accurately recorded, payments are processed correctly, and accounts are up to date, without direct interaction with customers regarding collections or debt recovery.

The ideal candidate must have strong attention to detail, be organized, and have a solid understanding of accounting and finance processes related to debtor and account management.

Responsibilities:

Allocate Payments: Ensure that all incoming payments are accurately allocated to the appropriate debtor accounts, in line with company procedures.

Account Reconciliation: Perform daily/weekly/monthly reconciliation of debtor accounts to ensure that all payments are accounted for correctly and in a timely manner.

Maintain Records: Keep detailed records of payment histories and transactions, ensuring that all debtor account balances are accurate and up to date.

Report Generation: Generate and maintain reports on account status, payment history, and outstanding balances as required by management or the finance team.

Dispute Resolution (Internal): Work with internal teams (such as customer service or sales) to resolve any discrepancies or issues related to payments or account allocation.

Ensure Compliance: Ensure that all procedures related to the handling of debtor accounts and payment processing comply with company policies and relevant regulations.

Qualifications:

Proven experience as a Debtors Administrator or similar role – minimum 3 year’s experience in a similar role

Strong analytical and problem-solving skills

Excellent communication and negotiation skills

Proficiency in MS Office and financial software

Attention to detail and accuracy

Ability to work independently and prioritize tasks

Experience working in a fast-paced environment

Evolve experience will be beneficial
