About The Role

We are seeking a highly organized and proactive Administrative Assistant to support our Canadian Corporate Tax department. This role involves providing comprehensive administrative support to Partners, senior managers, and client service teams, ensuring smooth daily operations and maintaining high standards of client service excellence. The successful candidate will be responsible for managing schedules, coordinating meetings and travel arrangements, preparing and editing documents, and assisting with proposal processes. Qualifications

  • Minimum of 5 years of administrative experience in a professional services environment
  • College diploma or an equivalent combination of education and experience
  • Advanced proficiency in MS Office Suite (Outlook, Excel, PowerPoint) and Adobe products (Acrobat)
  • Ability to quickly learn proprietary software applications
  • Excellent verbal and written communication skills
  • Strong project management and organizational skills
  • Good judgment and analytical skills with meticulous attention to detail
  • Ability to work independently, take ownership of tasks, and manage multiple priorities effectively
  • Flexibility to work beyond standard hours when required to meet business needs

Responsibilities

  • Providing comprehensive administrative support to partners, senior managers, and client service teams
  • Managing and maintaining partners’ calendars, scheduling meetings, and coordinating travel arrangements
  • Preparing, editing, and proofreading correspondence, presentations, reports, and other documents
  • Organizing meetings, conference calls, video conferences, and preparing necessary materials
  • Assisting with proposal development and collaborating with the proposal team and coordinator
  • Supporting the timely submission of time and expense reports for supported partners
  • Ensuring compliance with risk management and branding guidelines in all deliverables
  • Providing support for various administrative projects and initiatives as needed
  • Adapting quickly to changing client demands and business priorities
