Job Summary:
We are seeking a reliable and well-organized Secretary to support our office operations and ensure effective communication within and outside the organization. The ideal candidate will handle administrative and clerical duties with professionalism, efficiency, and discretion.
Key Responsibilities:
Answer phone calls, take messages, and redirect calls as appropriate
Manage schedules, appointments, and meetings for staff or executives
Prepare and handle correspondence, reports, and official documents
Maintain organized filing systems (digital and physical)
Greet visitors and manage front-desk responsibilities as needed
Arrange travel, accommodations, and logistics for staff
Take and distribute minutes during meetings
Ensure office supplies are stocked and equipment is functioning
Uphold confidentiality and handle sensitive information with integrity
Requirements:
High school diploma or equivalent; further education or training is a plus
Proven experience as a secretary or in a similar administrative role
Proficient in Microsoft Office Suite and office management systems
Excellent written and verbal communication skills
Strong organizational and time-management abilities
Attention to detail and a proactive attitude
Professional demeanor and strong interpersonal skills
Preferred Qualifications:
Diploma or certificate in Secretarial Studies or Office Administration
Experience in a corporate or executive office environment
Ability to multitask and work under pressure
